Black Sea Trade and Development Bank: Implementing AI for extracting lessons learned
BSTDB, a long-time client of AnswerModules, shared their groundbreaking Proof of Concept (PoC) project, which utilizes AI to address key business challenges in operational evaluation and strategic planning.
The initiative focused on the following key objectives:
- Extracting and categorizing lessons learned: AI processed operational evaluation reports to categorize lessons by sector, generating tailored insights.
- Document comparisons for strategic insights: AI analysed Final Review Documents (FRD) and Operational Completion Reports (OCR) to identify recurring patterns and discrepancies related to project objectives, pricing, and timelines.
- Tracking strategic shifts: AI compared Medium-Term Strategy and Business Plan (MTSBP) documents over time to assess alignment with execution outcomes.
- Sectoral benchmarking: AI analysed publicly available reports from other Multilateral Development Banks (MDBs) to draw sector-specific lessons, comparing internal and external findings.
By integrating industry-leading API services (OpenAI in this specific use case), Module Suite enabled the implementation of the different use cases on Extended ECM.

The AI processed document content extracted from ECM, delivering responses aligned with specific prompts. Leveraging Module Suite’s automation, the AI outputs were transformed into structured, user-friendly documents based on predefined templates. Additionally, updates to reports are fully automated, ensuring that outputs remain consistent and dynamic as new documents are added.
XY Vision: Delivering real-time insights with integrated engineering and plant maintenance
XY Vision, a trusted advisor for OpenText Extended ECM users in asset-based industries, helped a leading North American Oil & Gas company optimize its operations. The customer, using Extended ECM for Engineering and SAP to streamline processes, faced challenges from its diverse acquisitions, which had distinct corporate histories and processes.
To standardize and digitize operations across sites, the company recognized the need to replace custom legacy systems with a cost-effective, future-ready platform.
Key accomplishments included:
- SAP Plant Maintenance Integration into Extended ECM to streamline maintenance processes and provide full data visibility.
- “Last-mile Configurations” with Module Suite Extension: Tailored functionalities needed to be added to enhance asset information quality and compliance, avoiding reliance on hard-to-maintain custom solutions.
These efforts laid the foundation for standardized, digitized, and integrated processes across sites, reducing complexity and fostering long-term efficiency.
SAP Plant Maintenance Integration
SAP Plant Maintenance workspaces were integrated into the ECM platform for seamless handover; SAP Functional Locations (FLOCs) and Equipments could behave as Master document workspaces or could have business attachments “published”, where drawings and documents are related to multiple instances of Equipment.
Engineering Tag Management for assets like pipes and equipment was incorporated, eliminating spreadsheet inefficiencies and linking Tag Management with Drawing Management for Intelligent Tag Extraction.
Active Revisions could be effortlessly signed out to Work Orders, Capital Projects, and other Maintenance Project types for integrated Engineering, Maintenance and Operations.

Expanded ECM capabilities with Module Suite
XY Vision leveraged Module Suite Extensions to expand Extended ECM’s functionality, tailoring it to the customer’s business needs without relying on custom developments. This led to improved asset management, compliance, and collaboration through features such as:
- Transmittals and submittals management via CoreShare for better collaboration among project stakeholders and easier handovers of drawings and datasheets.
- Loadsheets transformed into advanced and fully formatted files, streamlining the compilation process and improving data quality with pre-validation features.
- A user-friendly dashboard offering quick access to key info, real-time updates, and intuitive tools like drag-and-drop columns, bulk actions, and customizable filters.

Productivity-Boosting Features
To further streamline users’ work and reduce the clicks needed to perform common tasks, advanced functionalities were implemented, such as:
- Bulk Placeholder creation to generate multiple placeholders at the same time.
- Bulk Sheet creation to request multiple sheet placeholders from existing an document number in single step.
- One-Step Transmittal creation: updating a transmittal or generating a new one by selecting multiple documents directly from the project section – with the option of creating, packaging and sending the transmittal in a single action.
Data-Driven Decision Making
A comprehensive master data and metadata model enriched search capabilities, enabling faster retrieval and improving reporting accuracy. This foundation not only enhanced operational efficiency but also empowered better, data-driven decision-making across projects and sites. Pre-configured dashboards and charts delivered real-time insight into earned-value on projects and contractor performance.
